1. Who we are
This website (bimarket.co.uk) is operated by BAZARIO LIMITED, a company registered in England and Wales under company number 16112255, trading as BiMarket UK ("we", "us", "our").
We are the data controller responsible for your personal data. This policy explains how we collect, use, share and protect your personal data, and your rights, in accordance with the UK GDPR, the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations (PECR).
2. Information we collect
We collect and process the following categories of personal data:
- Account data: name, email address, telephone number, password (stored encrypted), and login method (including Google sign-in if you choose it).
- Order & delivery data: billing and delivery addresses, order history, products purchased, and delivery instructions.
- Payment data: payments are processed by Stripe. We do not store your full card number; we receive only a payment reference and the result of the transaction.
- Communications: messages you send us, support requests, and your contact preferences.
- Usage & device data: IP address, browser type, pages viewed, and interactions, collected via cookies and similar technologies (see section 4).
- Age confirmation: where you order age-restricted products, confirmation that you are over 18 and, on delivery, verification of age.
3. How we use your data and our legal bases
We process your personal data on the following legal bases:
- Performance of a contract: to create your account, process and deliver orders, take payment, handle returns and refunds, and provide customer support.
- Legal obligation: to keep accounting and tax records, verify age for restricted products, and respond to lawful requests.
- Consent: to send marketing emails or SMS where you have opted in, and to set non-essential cookies. You can withdraw consent at any time.
- Legitimate interests: to operate, secure and improve our website, prevent fraud, and understand how customers use our service — balanced against your rights.
4. Cookies and similar technologies
We use cookies and similar technologies to make our website work and to improve your experience. These include:
- Strictly necessary cookies: for your shopping basket, login session and language preference (e.g.
bm_cart,NEXT_LOCALE). These do not require consent. - Functional cookies: to remember choices such as promotional features (e.g.
bm_wheel_sid) and the shopping assistant session. - Analytics: aggregated, privacy-conscious usage data to help us improve the service.
You can control or delete cookies through your browser settings. Blocking strictly necessary cookies may stop parts of the site from working.
5. Who we share your data with
We share personal data only where necessary, with trusted service providers acting as our processors:
- Stripe — secure payment processing.
- DHL — delivery and parcel tracking.
- Brevo (Sendinblue) — transactional and marketing email/SMS.
- Google — optional sign-in (OAuth).
- OpenAI — powering our on-site shopping assistant; messages are processed to generate responses and are not used to identify you.
- Ordnance Survey Places — UK address lookup.
Some of these providers may process data outside the UK. Where this happens, we rely on appropriate safeguards such as UK adequacy regulations or the International Data Transfer Agreement / Addendum. We do not sell your personal data.
6. How long we keep your data
We keep personal data only as long as necessary. Order and transaction records are retained for at least 6 years to meet UK accounting and tax obligations. Account data is kept while your account is active; if you close your account we delete or anonymise data that we are not legally required to keep. Marketing consent records are kept until you unsubscribe. Bio chat assistant conversation records are kept for 12 months after the last message and then deleted (see section 6A).
6A. Bio Chat Assistant & Conversation Records
Our website chat assistant "Bio" helps you find products, build baskets, and get help with orders, deliveries and returns. Conversations with Bio are recorded so that our team can follow up and support you. When you use Bio we record:
- the messages you send and Bio's replies, including any images you upload and the text of voice input (we store the transcribed text, not an audio recording);
- your IP address and approximate location derived from it (country and city), and your device, browser and operating system;
- the page you were on when you chatted and the referring page;
- if you are signed in, your account details (name, email address and telephone number), and any email address you verify in the chat;
- any contact details, postcodes or order numbers you share in the conversation, and the actions you take in the chat (for example adding items to your basket, asking to speak to our team or rating an answer).
Why we use it: to provide customer support and help with your orders, to follow up on requests you make in the chat (for example asking to speak to our team), to prevent and investigate fraud and misuse, and to improve the quality and accuracy of our service. Lawful basis: our legitimate interests in providing and improving customer support and keeping our service secure (UK GDPR Art. 6(1)(f)); where the chat relates to an order you have placed or are about to place, performance of a contract (Art. 6(1)(b)).
Live support: if a member of our support team joins your chat, their messages and yours are kept in the same chat record. If you have given us your email address, we may also send our reply to you by email so you do not miss it.
Retention and access: chat records are kept for 12 months from the last message and then deleted, unless they are needed for an ongoing dispute or legal claim. They can only be accessed by authorised BiMarket UK staff. Please do not share card numbers, passwords or special category data in the chat. To request a copy or deletion of your chat records, or to object to this processing, email info@bimarket.co.uk (see sections 7 and 11).
7. Your rights
Under UK data protection law you have the right to: access your data; have inaccurate data corrected; have your data erased; restrict or object to processing; data portability; and withdraw consent at any time. To exercise any right, contact us at info@bimarket.co.uk. We will respond within one month.
If you are unhappy with how we handle your data, you can complain to the UK Information Commissioner's Office (ICO) at ico.org.uk or 0303 123 1113. We would, however, appreciate the chance to address your concerns first.
8. Data security
We use appropriate technical and organisational measures to protect your data, including encrypted connections (HTTPS), encrypted passwords, restricted access and trusted infrastructure providers. No method of transmission over the internet is completely secure, but we work to protect your data and have procedures to deal with any suspected breach.
9. Children
Our website is not directed at children. You must be at least 18 years old to create an account or place an order, as our range may include age-restricted products. We do not knowingly collect data from anyone under 18.
10. Changes to this policy
We may update this policy from time to time. The latest version will always be available on this page, with the "last updated" date shown above. Significant changes will be communicated where appropriate.
